BACKGROUND
The Partnership Programme Department is established to enhance industry and project development and leverage funding and development of partnerships by:
Managing and administering existing funds that finance existing and new projects;
Developing partnerships for new funds to support IDC strategies in Industry and Project Development;
Managing and supporting programmes from government and private sector which support industry and project development e.g. Social employment, SEZs, township and other development programmes;
Provide developmental support during project and deal development; and,
Ensuring/facilitating inclusivity and sustainability during implementation.
JOB PURPOSE
Purpose of the position is to support the respective Fund / Account Managers by providing efficient administrative support in all aspects of the management and reporting on the work of the Department and Funds managed by the Department.
REPORTING RELATIONSHIP
The Administrative will report to the Programme Manager
MAIN DUTIES AND RESPONSIBILITIES
The Administrator will be responsible for:
Checking and facilitating all draw-down requests for disbursements in respect of BPs relating to Funds;
Following up on all amendments such as cancellations, exits, write-offs, extensions of terminal drawing dates on all transactions in the Departments portfolio;
Timeous and accurate maintenance of the database of all clients in the portfolio to include drawdown dates, quarterly reports, outstanding documentation etc;
Preparing quality, accurate and timeous reports in respect of stakeholders;
To assist with the execution of all administrative tasks of funds in the allocated department portfolio;
Understand and deliver against the requirement of the respective Fund Accounts;
Provide assistance to Financial Management in supplying relevant documentation for internal, or external audits, as may be required;
Arrange Fund Management meetings (as applicable) and prepare meeting packs;
Attend to any ad hoc queries and information requests and provide timeous feedback;
To ensure that all assigned administrative duties are completed timeously;
To ensure that all correspondences are generated and records are kept in accordance with the IDC systems and processes;
To ensure that all data capturing requirements are appropriately carried out;
To ensure that both manual and electronic filing are effectively and efficiently carried out;
Liaise with various stakeholders on administrative issues relating to the funds;
Maintain good stakeholder relations; and,
Assist with marketing and impact reporting on funds.
Job Requirements
QUALIFICATION REQUIREMENTS
A relevant Diploma/ post-matric administrative qualification
KNOWLEDGE AND EXPERIENCE REQUIREMENTS
At least 2 - 5 years’ experience in administration and/or client care;
Experience with SAP system, Microsoft Outlook, Word, Powerpoint and Excel;
A good understanding of IDC’s administration processes; and,
Experience in a fund management environment will be an advantage.
